The design question

Storage is easy. Access during the absence is the hard part.

Almost every failure we see is an access failure, not a security failure. The property was fine. Nobody could reach it, or nobody knew it existed.

Consultations with counsel are complimentary. We can meet at the facility or at your office.

Set these four things at intake

    Name the custodian.

    A trustee, an entity officer, or an authorised agent. Reachable, and likely to still be reachable years from now.

  2. 2

    Name a second one.

    People move, fall out, and die. One name is a single point of failure.

  3. 3

    Record how the term is renewed.

    Prepaid annual, with a documented contact before expiry. Never a card that can quietly expire.

  4. 4

    Sign the inventory.

    So that what is in the box is a fact, not a recollection — and so partial releases can be tracked against it.

Common questions

Who should be the named custodian?
Someone reachable, solvent, and likely to still be in the client’s life in five years. That is a harder test than it sounds and it is worth thinking about properly.
Can there be more than one?
Yes, and there usually should be. A single point of failure is the thing we are trying to remove.
Can the client change it later?
Yes, subject to their ability to communicate with us and to the structure used.
What if nobody is named?
Then the box is only as good as the client’s ability to reach us — which is the situation that causes the loss in the first place.
